Local Body Administration

The Electoral College is charged with the duties of administering the affairs of the Men of Earth, below are the various functions that it employs to that end. First and foremost, the Electoral College would like to thank all of the local body masters who serve the Order. Without you, there would be no Order as we know it. Thank you for all of your hard work.

Camp, Oasis, and Lodge Master’s Handbook

The most current version of this handbook is available from the Document Control Officer at doc_control@oto-usa.org or in the Watering Hole Intranet for Masters.

Change of Local Body Status

Applications for Change of Status (for example, from Camp to Oasis, Oasis to Lodge, or Lodge to Oasis) will be considered at the E.C. meeting following the agenda deadline by which they arrive.

The following application forms are available from the Document Control Officer Watering Hole Intranet for Masters:

  • Application for Camp Status
  • Application for Oasis Status
  • Application for Lodge Status

To obtain any of these documents, check the Watering Hole Intranet for Masters or email the Document Control Officer at doc_control@oto-usa.org. If you have any questions about the Change of Status Procedure, email the Electoral College Secretary at electoral_college@oto-usa.org.

Change of Mastership

Requests for Change of Mastership will be considered at the E.C. meeting following the agenda deadline by which they arrive. To obtain an Application for Change of Mastership, check the Watering Hole Intranet for Masters or email the Document Control Officer at doc_control@oto-usa.org. If you have any questions about the Change of Mastership Procedure, email the Electoral College Secretary at electoral_college@oto-usa.org.

Chartering New Bodies

Describes the process of applying for a new local body. If you are in a local area without an O.T.O. body you may wish to consider the Local Organizer Program first.

Clerk-house Announcement List

All local masters must be subscribed to the Clerk-house announcement list. This is the primary method for U.S.G.L. and the Electoral College to keep Grand Lodge volunteers apprised of changes in policy and procedures, and as such it is mandatory. All officers are subscribed during their onboarding into the Virtual Valley.

Contact Information Update

Body masters must inform the E.C. every time the local body’s contact information changes. Please send us email, snail mail, and phone number changes by clicking here. We also require notification of local body officer or administrator positions through submission of a Change of Officer Report Form available in the Watering Hole Intranet for Masters or the Virtual Valley drive.

Local Body Closure

We hope that you will not need to use this form, and further that if you are considering its use, you will correspond with one or more Electors about it before filing. Should body closure be imminent, we request that you notify the College and the Grand Treasurer General.

Virtual Valley

Our latest offering, now required for use by all local bodies, is the Virtual Valley aka local body workspace within the U.S.G.L. Google Workspace.  Contact the Technology Team to request your onboarding or for more information: technology.support@oto-usa.org.

All local masters and deputies, mentors, and electors are subscribed to this discussion list.  Access to the Watering Hole Intranet for Masters is granted automatically by subscription to this group. Questions on or discussion of anything related to local body administration are welcome in the group.
